# Product updates April, 2026

  # AI-powered email templates

  Email templates can now act as AI prompts for automated emails and draft replies. Define the strict canvas once — structure, tone, required sections, variables — and Penbox uses the case context and previous emails to generate messages that stay compliant with the template while still reading as specific and human.

  ### Template as prompt

  The template becomes the prompt. Use it to control what every automatic email or suggested reply must include, while letting AI adapt the wording to the recipient, the case, and the conversation so far.

  ### Automatic, but personal

  Workflows can send AI-generated emails automatically, or provide them as draft replies for review. Teams keep the consistency of a fixed email template without losing the human tone that makes a message feel written for the case in front of them.

  ### Case links in emails and SMS

  Email and SMS messages sent from workflows can now automatically include a direct link to the related **Case**. Recipients and teammates can jump back to the right case without searching, keeping the full conversation connected to the work it belongs to.

  # Penbox Agent is now available in beta

  **Penbox Agent** is now available in beta for every workspace. It gives teams an AI assistant inside Penbox that can help create, adapt, explain, and refine complex configuration work across forms, logic, signatures, variables, and Document Intelligence.

  ### Build and edit faster

  The agent can create new forms, adapt existing ones, and make precise surgical changes without forcing you to rebuild a full flow. Ask it to change copy, restructure steps, translate content, manage variables, configure signatures, or apply advanced **Penscript** logic.

  ### Understand what to change

  Penbox Agent can also explain how a form or configuration works, what a setting does, and what should change before you apply it. Use it to reason through complex logic, review form behavior, or understand how variables and conditions connect.

  ### Undo and redo agent actions

  Every action performed by the agent can be undone and redone. Try a change, inspect the result, and roll it back if it is not what you wanted.

  ### Research version for Document Intelligence Templates

  We've also added Penbox Agent in a research version for **Document Intelligence Templates**. It can help shape extraction fields, validation logic, and template configuration for document-heavy workflows.

  # Install ready-made case templates from the marketplace

  Workspace admins can now browse a Penbox-curated **Marketplace** of ready-made **case templates** and install copies into their own workspace. Open **Browse Marketplace** from the case templates page, filter by categories like **Broker**, **Insurance**, or **HR**, and start from a complete operational blueprint instead of a blank template.

  ### Complete case templates

  Marketplace templates can include the pieces that make a case work end to end: pre-made forms, step sequences, case data, automations, and Document Intelligence configuration. Installing a template also installs the forms referenced by its steps, so the copied case template is ready to adapt inside your workspace.

  ### Independent workspace copies

  Installed templates belong to your workspace. Teams can edit their copy without changing the original marketplace template, while Penbox keeps a reference to the source template for future marketplace features.

  # Any form can now become a case

  Forms now fit directly into the Penbox case model. When **Forms as cases** is enabled, every sent form can create or attach to a **Case**, with the timeline, contacts, workflow steps, and automations that teams use to manage work from start to finish.

  ### Forms as cases

  Forms shared from campaigns, integrations, or direct links no longer have to live outside the operational workflow. Penbox can wrap each form in a case, apply the right case template when one is configured, and keep contact details in sync when the recipient updates their information.

  ### Case references

  Cases now display a short **reference** in the case list and case header. Click the reference to copy it, share it with teammates, or use it when connecting external conversations back to the right case.

  ### Email mapping

  Email workflows can use case references to keep messages attached to the correct case. Replies and forwarded conversations are easier to route, so context stays with the case instead of getting lost in a separate inbox thread.

  Penbox has a new visual identity across the product. The redesigned app introduces our updated color system, including our signature **Zen** color, refreshed buttons, cleaner surfaces, and a more consistent interface from first login to daily workspace management.

  ### Sign-up and sign-in

  The new **sign-up** and **sign-in** screens bring the updated brand forward while keeping authentication focused on the next action. New teammates get a calmer, more direct path into the workspace.

  ### Workspace menu

  We've refreshed the **Workspace menu** with a cleaner structure and stronger hierarchy across navigation, actions, and settings. Switch context, find workspace settings, and manage daily work with fewer visual distractions.

  ### Filters and controls

  We've added new filters across the app and updated the color and button styles that power common actions. Filters are easier to scan, buttons feel more consistent, and the updated palette makes important states clearer.
