The Members page lets you invite and manage the people who have access to your workspace. Access it from Settings → Members in the app.

Member roles

Every workspace member is assigned one of three roles. Roles control what actions a member can perform across the workspace.

AdministratorFull access to the workspace. Can invite members, change roles, manage all settings, and perform any action.
HandlerCan work on cases and forms. Cannot manage members or change workspace settings.
LimitedRestricted access. Can view and interact with content they are assigned to, but has no administrative capabilities.
Only Administrators can invite new members, change roles, and manage workspace settings.

Studio access

In addition to their role, a member can have Studio access enabled. This gives them access to the Penbox Studio to build and edit forms and case templates. Studio access is independent of the member’s role and can be granted to any member.

Member statuses

StatusDescription
ActiveThe member has accepted their invitation and has access to the workspace.
InvitedAn invitation has been sent but not yet accepted. You can resend the invitation from the actions column.

Inviting a member

Click Invite member in the top right to open the invitation dialog. Enter the email address of the person you want to invite and select their role. They will receive an email with a link to join the workspace.
Only Administrators can invite new members.

Changing a member’s role

You can change a member’s role at any time using the role dropdown in the members list. Changes take effect immediately. You cannot change your own role.

Removing a member

To remove a member from the workspace, click the delete icon in the Actions column.
You cannot remove a member who has the Administrator role. Before deleting an admin, you must first change their role to Handler or Limited, then delete them.
You also cannot remove yourself from the members list — use the Leave workspace button instead (available in the top right of the Members page).

Leaving the workspace

If you want to remove yourself from a workspace, click Leave workspace in the top right. You will lose access to all content in the workspace immediately. To regain access, a workspace Administrator will need to invite you again.
